<p>The first quarter of 2026 gave Esperanto-USA a strong start to the year. Revenue was higher than expected, while expenses remained well controlled. That does not mean every dollar is freely available for any purpose. But it does mean the organization entered the spring with healthy cash flow, a strong reserve, and enough flexibility for upcoming programs.</p>



<p>The short summary is this: members renewed strongly, donors continued supporting the work, program income began coming in, and some larger expenses will simply arrive later in the year.</p>



<h2 class="wp-block-heading">The Key Numbers</h2>



<p>During Q1, Esperanto-USA’s total revenue was <strong>$52,931</strong>. After <strong>$964</strong> in costs directly tied to sales, the gross result was <strong>$51,967</strong>. The most important revenue sources were:</p>



<ul class="wp-block-list">
<li><strong>Membership dues:</strong> $14,927</li>



<li><strong>Donations:</strong> $12,209</li>



<li><strong>Program income:</strong> $9,525</li>



<li><strong>Reed Trust income:</strong> $14,862</li>
</ul>



<p>Total expenses were <strong>$27,381</strong>, and the quarter ended with a surplus of <strong>$24,586</strong>.</p>



<p>We also ended the quarter with <strong>$62,471</strong> in bank accounts. That matters because money in bank accounts is the money most readily available to pay bills, prepare events, and support the organization’s day-to-day work. In addition, we continue to hold the <strong>$50,000</strong> restricted gift in a certificate of deposit so that it can earn interest while we prepare the right way to use it for cultural programs.</p>



<h2 class="wp-block-heading">Compared with the Budget</h2>



<p>The budget is our plan. The actual numbers show how the year really began.</p>



<ul class="wp-block-list">
<li><strong>Revenue:</strong> $52,931<br><em>Planned: $38,403</em></li>



<li><strong>Expenses:</strong> $27,381<br><em>Planned: $37,752</em></li>



<li><strong>Final result:</strong> $24,586<br><em>Planned: -$473</em></li>
</ul>



<p>The difference is clearly favorable. But the reason is not simply “more money.” The real picture is more nuanced. First, membership dues and donations were strong at the beginning of the year. Second, some program costs are planned for Q2 and Q3, especially related to summer activities and the Landa Kongreso.</p>



<p>A note on membership fees: two years ago we decided to renew all memberships at the beginning of the year. Starting in this year&#8217;s budget process (for 2027), we&#8217;ll try to align that income expectation better in the budget so that reports in Q1 next year more accurately align to the expectations.</p>



<p>So Q1 was a good quarter, but not a reason for careless spending. It is a reason to move forward carefully and confidently.</p>



<h2 class="wp-block-heading">Why the Surplus Needs Context</h2>



<p>The <strong>$24,586</strong> surplus looks very strong, and it is a good sign. However, not every part of that surplus is ordinary money that can be used freely.</p>



<p>For example, <strong>$5,000</strong> of the donations was a restricted gift for International Representation. That money must serve that purpose. The <strong>$14,862</strong> connected to the Reed Trust is also not ordinary income for general administrative costs. The first 90% are not considered operating income, but this year we&#8217;ll transfer them again to ESF to support NASK. </p>



<p>When we separate out those special items, the more practical operating surplus is about <strong>$4,724</strong>. That is a healthy result. It shows that Esperanto-USA’s day-to-day financial base is growing stronger, without overstating the meaning of one quarter.</p>



<p>One especially encouraging point is this: membership dues and bookstore income covered about <strong>60%</strong> of our general and program costs during Q1. That is a step in the right direction. We still depend on investments and funds for part of our work, but our ordinary revenue base is showing more strength.</p>



<h2 class="wp-block-heading">Investments and the Reed Trust</h2>



<p>Esperanto-USA’s main Morgan Stanley investment accounts ended the quarter at <strong>$536,525</strong>. That is lower than at the end of 2025, but the main reason was planned annual withdrawals to support the 2026 budget. This is not a sign of day-to-day financial weakness. It is part of the plan already built into the Board’s budget.</p>



<p>The Reed Trust ended at <strong>$431,312</strong>. As usual, its picture is a little less simple because the Trust isn&#8217;t owned by E-USA; it&#8217;s only administered by us. Still, we are pleased that its income will again chiefly support NASK in 2026 through a grant arrangement with ESF.</p>



<p>Market values always move. For that reason, we do not treat short-term changes as the most important measure of our success. The more important question is whether the investments continue to support Esperanto-USA’s long-term stability. At this point, they do.</p>

<h2 class="wp-block-heading">Continuing to Improve Our Financial Work</h2>



<p>Beyond the numbers themselves, Q1 was also a time to improve our internal financial work.</p>



<p>We are continuing to work with our bookkeeper to show transactions and program classes more clearly in QuickBooks Online. That will help us report more clearly to both the Board and the membership.</p>



<p>We are also clarifying the best way to show investment income and money movements between accounts. Those details may not sound exciting, but they matter. Good reporting depends on good internal habits.</p>



<p>Finally, I plan to propose a clearer support structure for future treasurers. The goal is simple: Esperanto-USA should preserve strong financial expertise not only now, but also in the future.</p>



<h2 class="wp-block-heading">Looking Ahead</h2>



<p>After Q1, Esperanto-USA is in a good position to continue working on the upcoming Landa Kongreso, the new e-book project Guteto, clearer financial reporting, and careful use of restricted and investment resources.</p>



<p>Q1 was a quarter of careful execution: strong revenue, controlled expenses, and clear attention to the future. That is exactly the kind of financial foundation our movement needs.</p>

<p id="en">The fourth quarter was the culmination of our year’s efforts, characterized by high programmatic activity. While the numbers show a net operating loss for these three months, this is a sign of&nbsp;<strong>success, not weakness</strong>. This spending was fully intentional and represents our commitment to putting our resources to work for the Esperanto community.</p>



<p>Our excellent financial performance earlier in the year allowed us to fund our flagship publication, the US Good Film Festival (UBFF), and the new grant process for local groups without risking our stability. We ended 2025 as an organization that doesn’t just collect funds, but effectively deploys them for its mission.</p>



<h3 class="wp-block-heading">Investment Performance &amp; Liquidity</h3>



<p><strong>Investments:</strong>&nbsp;Our Morgan Stanley portfolio reached a significant milestone, closing the year at&nbsp;<strong>$588,032</strong>. The E-USA accounts grew by ~$12% just in the last quarter. Despite our high activity in Q4, these investments provide long-term stability and a solid foundation for growth in 2026.</p>



<p>The&nbsp;<strong>Reed Trust</strong>&nbsp;(which E-USA administers) also saw modest growth despite it’s quarterly withdrawals. Next year, we’re excited to share that the full, planned income for the trust will again support NASK (the North American Summer Course). NASK will also again coincide with the Landa Kongreso making it easier for people to attend both — more to come on that!</p>

<p><strong>Liquidity:</strong>&nbsp;We ended the year in a strong cash position with $17,320 in immediate liquid bank accounts. We also successfully moved the $50,000 restricted gift from Danielle Power to a high-interest, flexible CD. This kind of account earns a higher interest rate ensuring that it grows while remaining available for future cultural program usage.</p>



<h3 class="wp-block-heading">Plan vs. Actual: A Successful Year-End Balance</h3>



<p>Here is the comparison for our Q4 performance:</p>



<ul class="wp-block-list">
<li><strong>Income:</strong> $7,967 (Planned: $37,114)</li>



<li><strong>Expenses:</strong> $34,015 (Planned: $36,337)</li>



<li><strong>Net Result:</strong> -$26,048 (Planned: +$777)</li>
</ul>



<p><strong>Takeaway:</strong>&nbsp;The revenue variance is due to the fact that we&nbsp;<strong>met our major income targets earlier in the year</strong>&nbsp;than expected. Because of our strong fundraising in Q2 and Q3, we were able to focus on programmatic delivery in Q4. We stayed within our expense budget and successfully weathered some unexpected timing-related challenges (like two issues of&nbsp;<em>Usona Esperantisto&nbsp;</em>hitting us in one quarter).</p>



<h3 class="wp-block-heading">Full-Year Budget Analysis: A Model of Stability</h3>



<p>Taking the full year into view, Esperanto-USA demonstrated remarkable resilience and efficiency. The full-year performance was strongly positive,&nbsp;<strong>ending the year with a net surplus of $14,493</strong>. This success is a direct result of our strategy to secure income early and then wisely invest those funds into member services.</p>



<p>Our discipline allowed us to finish the year with total expenses significantly lower than the full-year projection, even with the high Q4 activity. This positions us perfectly for the ambitious projects ahead in 2026.</p>



<h3 class="wp-block-heading">Administrative Actions</h3>



<p>During Q4, we didn’t just spend on programs; we strengthened our internal structure:</p>



<ol class="wp-block-list">
<li><strong>Chart of Accounts:</strong> We implemented a more modern system for 2026 for even more transparent reporting to our members.</li>



<li><strong>Shipping Classification:</strong> We refined our cost tracking for better efficiency.</li>



<li><strong>2026 Planning:</strong> At the beginning of December, we successfully finalized the 2026 budget process, ensuring our future financial priorities are clearly defined and ready for immediate implementation.</li>
</ol>



<h3 class="wp-block-heading">Looking Forward</h3>



<p>We close 2025 in our strongest financial position in recent history. Because of our successful work, the Board is now moving forward with:</p>



<ul class="wp-block-list">
<li>Restarting the E-USA Publishing Department.</li>



<li>Expanding into grant writing to secure even larger projects.</li>



<li>Increasing staff support for our programs and the upcoming Landa Kongreso.</li>

<p>The financial health of Esperanto-USA rests not only on budget plans and daily expenses but also on a solid pillar: the <strong>investment portfolio</strong> (or <em>investaĵaro</em>). Although membership dues are essential, they cover only a portion of the organization&#8217;s operating costs. To support programs — such as grants for local meetings in Cleveland, reducing costs for the National Congress (Landa Kongreso), and technical maintenance for the Central Office — the organization relies on the growth of its investments. The current strategy is moderate regarding risk, aiming for (and often achieving) an annual yield of more than 10 percent.</p>



<h3 class="wp-block-heading">Dialogue: What is in the &#8220;Basket&#8221;?</h3>



<p>In the following conversation, the Treasurer explains to a new board member, Elena, the reasons why the organization chooses specific tools for its funds.</p>



<p><strong>Elena:</strong> While studying the balance sheet, I noticed that a large portion of our resources is held in investment accounts instead of ordinary bank accounts. Why don&#8217;t we simply use a traditional savings account?</p>



<p><strong>Treasurer:</strong> Savings accounts are indeed safe, but their interest is often lower than inflation. For Esperanto-USA to grow and finance future projects, it is necessary to place a portion of our resources into <strong>stocks</strong> and <strong>bonds</strong>.</p>



<p><strong>Elena:</strong> Isn&#8217;t that too risky for a non-profit organization? The securities market sometimes experiences sudden drops.</p>



<p><strong>Treasurer:</strong> That is a completely valid concern. That is why the organization does not buy individual stocks in specific companies. Instead, we use <strong>ETFs</strong> (Exchange-Traded Funds). You can imagine them as baskets full of hundreds of different stocks. They are more efficient and less costly than traditional <strong>mutual funds</strong>. If one company in the basket fails, the hundreds of others keep the whole thing stable.</p>



<p><strong>Elena:</strong> So, is that the <strong>diversification</strong> mentioned in our guidelines?</p>



<p><strong>Treasurer:</strong> Exactly. Through this strategy, the organization maintains moderate risk yet enjoys an annual yield of approximately 10 percent. This gain directly helps pay for various software and services for the Central Office without the need to excessively raise membership dues. Furthermore, it allows the Board to support local grants and other programs so that we can advance the mission of Esperanto-USA.</p>



<p><strong>Elena:</strong> I understand. So the investments work like an engine that constantly generates resources for the movement&#8217;s goals.</p>



<p><strong>Treasurer:</strong> Precisely! Soon you&#8217;ll be ready to be the Treasurer yourself!</p>



<h2 class="wp-block-heading">Fundamental Terms</h2>

<h3 class="wp-block-heading">Supporting clubs: our strategy, our budget, your idea</h3>



<p>Esperanto‑USA believes a simple truth: <strong>the strongest way to grow Esperanto in the United States is through local people, local relationships, and local activities</strong>. Clubs and regional groups are often the first place a beginner feels genuinely welcomed. In many cases, local friends actively encourage those beginners to continue learning Esperanto—and, ideally, to also become members of Esperanto‑USA.</p>



<p>That’s why, in the current budget, we <strong>set aside a dedicated amount to support local and regional clubs</strong>. As Treasurer, my role is both to <strong>protect the organization’s finances</strong> and to <strong>ensure that our resources truly serve the mission</strong>. This grant program does both: it invests in the most effective channel for engaging people, while remaining transparent and responsible.</p>



<h3 class="wp-block-heading">New grant application</h3>



<p>To simplify the process, we recently launched a straightforward application form. You can request funding using the <strong><a href="https://wkf.ms/4eUfhxh?Program=OutboundGrants" target="_blank" rel="noreferrer noopener">new grant application</a></strong>.</p>



<h3 class="wp-block-heading">What kinds of projects can a grant support?</h3>



<p>Grants are intended for concrete activities that <strong>strengthen learning, visibility, and community engagement</strong>. Since our budget year follows the calendar year, requests should be for support during a year. If you request for help with space or technology costs that recur each year, you should plan to resubmit an application each year <strong>that you need help</strong>. </p>



<p>Examples of support or project costs that you can request support for:</p>



<ul class="wp-block-list">
<li>rental of space for meetings, courses, or public programs</li>



<li>printed outreach materials (posters, flyers, beginner guides)</li>



<li>basic materials for “Try Esperanto” events or information tables at local events</li>



<li>modest costs for outreach and reaching new audiences</li>



<li>technical needs for public talks or hybrid meetings (as appropriate)</li>



<li>Meetup (or similar services) subscriptions if that&#8217;s the main way you attract new members to your club or communicate club gatherings</li>
</ul>



<p><strong>Tip:</strong> The strongest applications clearly explain (1) <em>what you plan to do</em>, (2) <em>how much it will cost</em>, and (3) <em>how you will know the project is successful</em>.</p>



<h3 class="wp-block-heading">What we look for in a strong request</h3>



<p>We aim to be fair, consistent, and transparent. A strong application typically:</p>



<ol start="1" class="wp-block-list">
<li><strong>Has a clear goal</strong> (e.g., a series of meetups, a beginner course, a public lecture)</li>



<li><strong>Includes a realistic budget</strong> (what the expenses are and why they are necessary)</li>



<li><strong>Describes the expected impact</strong> (how many participants you expect, how many new contacts you aim to reach, and whether follow‑up activities are planned)</li>



<li><strong>Aligns with Esperanto‑USA’s mission</strong>: learning, community, and sustainable local presence</li>
</ol>



<h3 class="wp-block-heading">Accountability without unnecessary bureaucracy</h3>



<p>We want this program to support volunteers—not burden them. At the same time, because these are organizational funds, basic accountability is necessary.</p>



<p>After the project, we generally ask for:</p>



<ul class="wp-block-list">
<li>a brief report (what took place, how many people attended, what you learned)</li>



<li>basic documentation for major expenses (such as receipts or payment confirmations), as needed</li>



<li>ideally, a short article submitted to <em>Usona Esperantisto</em> for publication</li>
</ul>



<p>This protects both you and the organization, and it helps us show the membership: <strong>“This is how budgeted funds turned into real, local movement‑building.”</strong></p>



<h3 class="wp-block-heading">Invitation to clubs: propose, test, and grow</h3>



<p>If your club has an idea—even if it is not yet perfectly polished—I encourage you to submit an application. A small, well‑planned grant can be the difference between “we would like to do something” and “we actually did it.”</p>

<h2 class="wp-block-heading" id="en">Monthly Financial Closing: The things we do to make sure that our books remain in good shape</h2>



<p>In the world of finance, closing the books simply means finishing the month so that the financial information reflects reality. We do practical housekeeping: we reconcile the bank and credit card statements to our official accounting system, QuickBooks Online (QBO). We note timing differences and correct obvious misclassifications. We also post a few journal entries to explain special situations, for example when money moves from the investment account into the checking account and then immediately goes out to pay a program expense. Another such situation is when a cost belongs to June but the invoice arrives in July. After that, we prepare the financial statements so we can analyze how the organization is progressing toward its annual goals and present a clear, trustworthy picture to the board and to the members.</p>



<p>To make these activities concrete, here is a short, fictional conversation between the Treasurer and the Central Office Director.</p>

<p><strong>Office Director:</strong> Got it. I’ll post a journal entry: debit <strong>Utilities Expense</strong> $900, credit <strong>Accounts Payable</strong> $900. That way June shows the cost before the invoice arrives.</p>



<p><strong>Treasurer:</strong> Nice. The bank statement shows $2,000 in outstanding checks. That’s just timing. We’ll explain it in the <strong>reconciliation report</strong>.</p>



<p><strong>Office Director:</strong> We prepaid $12,000 for the conference venue. One month has passed, so we should recognize $1,000 as expense.</p>



<p><strong>Treasurer:</strong> Exactly! Debit <strong>Expense</strong> $1,000, credit <strong>Prepaid Expense</strong> $1,000. While we&#8217;re at it, let’s book <strong>depreciation </strong>on the copier. Round it to $500 for June.</p>



<p><strong>Office Director:</strong> One more item: revenue for the October workshop. We already collected $6,000 in July.</p>



<p><strong>Treasurer:</strong> That’s <strong>unearned revenue</strong>. We’ll defer it now and recognize it as we deliver the workshop.</p>



<p><strong>Office Director:</strong> Once these are in, I’ll run the <strong>trial balance</strong> and make sure the statements tie.</p>

<p><strong>Key terms we learned</strong></p>



<ul class="wp-block-list">
<li><strong>Journal Entry (ĵurnala registro):</strong> A manual entry in the accounting system with debits and credits for a transaction. Some accounting activities do not map to a single external transaction (for example, when we record a portion of depreciation each month). To keep the books accurate, a bookkeeper or other professional records these items manually.</li>



<li><strong>Accrual (akrualo/enperiodigo):</strong> Put costs and revenues in the correct period, not based on the cash movement. This is important to ensure the financial reports reflect regular, expected monthly expenses (for example, utilities).</li>



<li><strong>Deferral (prokrasto):</strong> Recognize later what was paid or received now. We should not record revenue for an event before the event actually occurs, even if we received the cash during advance registration.</li>



<li><strong>Unearned Revenue (neankoraŭ gajnita enspezo):</strong> Cash received for work not yet delivered. See &#8220;Deferral&#8221; above.</li>



<li><strong>Reconcile (bilanci) / Reconciliation (bilancigo):</strong> Explain differences among the bank statement, subledgers, and the general ledger. During reconciliation, we analyze differences to explain why they happened and how to correct any errors.</li>



<li><strong>Prepaid Expense (antaŭpagita elspezo):</strong> An asset that turns into an expense over time.</li>



<li><strong>Depreciation (amortizo):</strong> Scheduled expensing of a long‑lived asset.</li>



<li><strong>Accounts Receivable — A/R (ricevaĵoj):</strong> Amounts owed to the nonprofit.</li>



<li><strong>Accounts Payable — A/P (pagendaĵoj):</strong> Amounts the nonprofit owes.</li>

<h2 class="wp-block-heading">Purpose:&nbsp;</h2>



<p>Esperanto‑USA (&#8220;the Organization&#8221;) solicits and accepts charitable gifts that support and further its mission to advance education in and awareness of Esperanto in the United States. This policy guides donors, volunteers, staff, and board members in evaluating, accepting, or declining gifts and ensures that acceptance decisions protect the Organization’s integrity, financial health, and reputation.</p>



<h2 class="wp-block-heading">Policy:</h2>



<h3 class="wp-block-heading">1. Scope</h3>



<p>This policy applies to all forms of gifts—including cash, securities, tangible and intangible property, and planned‑giving instruments—offered to Esperanto‑USA for any purpose, program, or service.</p>



<h3 class="wp-block-heading">2. Definition of Major Gift</h3>



<p>A <em>major gift</em> triggers formal review and is defined as <strong>(a)</strong> any cash or marketable security valued at <strong>$10,000 or greater</strong>, or <strong>(b)</strong> any proposed <em>non‑monetary</em> asset of any value (e.g., real estate, tangible personal property, intellectual property). Gifts described in (b) are <strong>not ordinarily accepted</strong> and will be processed in accordance with §3 and §7.</p>



<h3 class="wp-block-heading">3. Gifts Generally Accepted Without Review</h3>



<ol class="wp-block-list">
<li><strong>Cash &amp; Cash Equivalents</strong> – including checks, ACH, credit/debit cards.</li>



<li><strong>Marketable Securities (Publicly Traded)</strong> – transferred to the Organization’s designated brokerage account and generally liquidated upon receipt.</li>



<li><strong>Bequests &amp; Beneficiary Designations</strong> – via wills, revocable trusts, life‑insurance policies, commercial annuities, and retirement plans.</li>



<li><strong>Charitable Remainder &amp; Lead Trusts</strong> – where Esperanto‑USA is a named beneficiary only.</li>
</ol>



<h3 class="wp-block-heading">4. Gifts Not Accepted&nbsp;</h3>



<p>Esperanto‑USA will <strong>decline</strong> any proposed gift that:</p>



<ol class="wp-block-list">
<li>Consists of restricted, closely held, or otherwise illiquid securities (no exceptions) (example: privately held securities. Donor must convert to cash prior to donating);</li>



<li>Names Esperanto‑USA as a trustee or fiduciary <strong>—except where the Organization is already a named beneficiary or administrator of a pre‑established trust (e.g., the Harmon Reed Trust)—</strong>;</li>



<li>Cryptocurrency or other digital tokens;</li>



<li>Non‑marketable, speculative, or heavily encumbered assets;</li>



<li>Obliges the Organization to assume financial, environmental, or other liabilities;</li>



<li>Mineral Rights</li>



<li>Presents a potential conflict of interest;</li>



<li>Involves real property or other assets subject to environmental or regulatory concerns (no exceptions); </li>



<li>Violates the Organization’s Articles of Incorporation or jeopardizes its 501(c)(3) status;</li>



<li>Is incompatible with its mission, values, or strategic priorities;</li>



<li>Creates an undue financial, administrative, legal, or reputational burden;</li>



<li>Imposes restrictions that prevent prudent management or use; </li>



<li>Gifts conditioned on extremist, discriminatory, or otherwise unethical purposes; or</li>



<li>Is otherwise unlawful or unethical.</li>
</ol>

<h3 class="wp-block-heading">6. Gift Acceptance Process</h3>



<ol class="wp-block-list">
<li><strong>Initial Screening</strong> – Treasurer or designated staff logs the offer and determines whether it falls under §4 or §5.</li>



<li><strong>Due Diligence</strong> – For §5 gifts, staff gathers required documentation (appraisals, insurance or policy documents, trust or legal agreements, intellectual‑property assignments) and submits a summary to the FC.</li>



<li><strong>Committee Recommendation</strong> – The FC records its analysis and recommendation (accept, modify, or decline).</li>



<li><strong>Board Action</strong> – When required, the Board votes on the gift at the next regular or special meeting, or may conduct an expedited virtual vote in accordance with Board operating rules when timing is critical.</li>



<li><strong>Gift Agreement</strong> – For major or restricted gifts, Esperanto‑USA and the donor must memorialize—via a mutually agreed‑upon email <strong>or</strong> a signed document—an agreement outlining purpose, restrictions, liquidation intent, reporting schedule, and the five‑year sunset clause. The finalized email or document will reside in the Organization’s official electronic storage system until all conditions of the gift have lapsed.</li>
</ol>



<h3 class="wp-block-heading">7. Review &amp; Approval Authority</h3>



<ol class="wp-block-list">
<li><strong>Treasurer/Executive Director</strong> – may immediately accept gifts listed in §3.<br></li>



<li><strong>Finance Committee (FC)</strong> – reviews gifts listed in §5 and recommends acceptance, modification, or declination to the Board.<br></li>



<li><strong>Board of Directors</strong> – retains final authority for gifts exceeding $250,000, gifts that significantly impact strategy, or any gift the FC refers for further consideration.</li>
</ol>



<h3 class="wp-block-heading">8. Default Time‑Limited Endowment &amp; Restricted Funds Clause</h3>



<p>Unless the Board explicitly approves an alternative, <strong>all endowment‑style and other restricted gifts will convert to unrestricted status after five (5) years</strong> from the date of gift acceptance. Donors may request a longer or perpetual restriction, but such requests require Finance Committee review and Board approval.</p>



<p>When a restriction sunsets—or if a donor‑imposed condition later proves impracticable—the Board will make a <em>good‑faith effort</em> to honor the donor’s original intent by moving the funds to the closest mission‑aligned <strong>category‑level purpose</strong> (e.g., an Education/Scholarship endowment may be redesignated to Education/General Support). If no substantially similar purpose exists, the Board reserves the right to repurpose the funds to meet the Organization’s most pressing needs while remaining consistent with its charitable mission.</p>



<h3 class="wp-block-heading">9. Donor Responsibilities</h3>



<ol class="wp-block-list">
<li>Donors bear responsibility for obtaining independent tax or legal advice and for all required appraisals.
<ol style="list-style-type:lower-alpha" class="wp-block-list">
<li>Required appraisals include obtaining the fair market value of the gifts if requiring a gift receipt for tax reporting</li>
</ol>
</li>



<li>Esperanto‑USA does not provide tax, legal, or investment advice.</li>
</ol>



<h3 class="wp-block-heading">10. Valuation &amp; Acknowledgment</h3>



<ol class="wp-block-list">
<li>Gifts are recorded at fair market value on the date of transfer.</li>



<li>Donors are responsible for providing and defending the fair market value at time of transfer.</li>



<li>The Organization issues written acknowledgments compliant with IRS regulations (e.g., for gifts ≥ $250) within <strong>30 days</strong> of acceptance.</li>
</ol>



<h3 class="wp-block-heading">11. Policy Review &amp; Transparency</h3>



<p>This policy will be reviewed at least every <strong>three (3) years</strong> by the Finance Committee and updated as needed. The current version will be posted on the Organization’s website for transparency.</p>

<p id="en">In the second quarter (Q2), Esperanto‑USA executed planned program distributions, stabilized our accounting system, and maintained healthy liquidity while preparing to execute the bi-national congress with our fellow esperantists in Canada. The Q2 story is mainly about timing: restricted funds went out to programs on schedule, and we funded planned program and operations expenses with a board‑approved transfer from the unrestricted investments account, all while keeping the Endowments steady.</p>

<p><strong>What changed?</strong></p>



<ul class="wp-block-list">
<li>The <strong>Endowment</strong> remained steady (income from fixed‑income holdings offset minor market drift).</li>



<li>The <strong>Unrestricted</strong> account dropped primarily due to a <strong>board‑approved $50k transfer to checking</strong> during June; investment performance partially offset the draw.
<ul class="wp-block-list">
<li>This draw down was primarily a transfer of the 2024 Reed Trust Income (which was stored in a high-interest money market account until its planned use) to support NASK being held in Toronto. ($14,400)</li>



<li>The remaining $35,600 was transferred to similarly to offset planned program expenses in the budget. Much of this was related to the congress, whose income won&#8217;t be received until Q3.&nbsp;</li>
</ul>
</li>



<li>The <strong>Reed Trust</strong> continued its steady growth and provided its scheduled program disbursement (90% to grantees; 10% retained for administration). Again, Reed Trust is <strong>not</strong> included in E‑USA totals.</li>

<p>The bookstore continues to serve members and generate margin. Esperanto-USA has also received multiple offers for donations of books which will help power the sales numbers in future quarters. The organization is also discussing several ideas about merchandise which we could produce and sell through LaBazaro.com, an Esperantujo-owned and operated online marketplace.</p>

<h2 class="wp-block-heading">Outstanding Actions for the Treasurer</h2>

<li>Work with Morgan Stanley to move the unrestricted investments and Reed Trust accounts under management&nbsp;</li>



<li>Work with Esperanto-USA&#8217;s CPA to create a new, fresh, and modern chart of accounts to align the organization to modern non-profit accounting practices. This will also simplify the preparation of the Form 990</li>



<li>Work with the CPA to establish a new program named &#8220;Culture / General&#8221; which will be the parent program of the US Good Film Festival as well as future writing contests and other culture-specific programs (see the below &#8220;Looking Forward&#8221; section for more details)</li>



<li>Draft and work with the Board to approve a new Gift Acceptance Policy that reflects modern best practices and advice from Cal Non-Profits</li>
</ul>

<h2 class="wp-block-heading">Looking Forward</h2>



<p>During the congress this year, we were approached by Danielle Power, the widow of the late Charles Power, with an offer to establish a $50,000 restricted gift in Charles&#8217; name. The restricted gift will serve to support the US Good Film Festival as well as literary and publishing projects, specifically for works of original and translated Science Fiction stories in Esperanto. Charles was an avid Science Fiction reader and translator of comic books! We recently established the gift agreement with Danielle and are excited to honor Charles, a long-time and strong supporter of Esperanto here in the US.&nbsp;</p>



<p>We&#8217;re also excited to share that due to the success of Esperanto-USA over the past year, and the community&#8217;s faith in our board and direction, long-time honorary lifetime member, Humphrey Tonkin, offered to become a paid-in-full lifetime member. This very generous gesture by Humphrey, along with his and other&#8217;s feedback during the Esperanto-USA aferkunsido at the congress warms our hearts and powers us forward to continue fulfilling the mission and vision of Esperanto in the US.</p>

<h2 class="wp-block-heading">Farotaj Agoj por la Kasisto</h2>



<ul class="wp-block-list">
<li><strong>Kunlabori kun Morgan Stanley</strong> por meti la nelimigitajn investojn kaj de la <em>Reed Trust</em> sub aktivan administradon.</li>



<li><strong>Kunlabori kun la profesia kontisto de Esperanto‑USA</strong> por krei novan, klaran kaj modernan kontoplanon, kongruigitan kun nuntempaj neprofitcelaj praktikoj. Tio ankaŭ simpligos la preparadon de la Formularo 990 de la IRS.</li>



<li><strong>Kunlabori kun la profesia kontisto</strong> por starigi novan programon nomatan “Kulturo / Ĝenerala”, kiu estos la ĉefa programo por la <strong>Usona Bona Film-Festivalo (UBFF) </strong>kaj por estontaj verkokonkursoj kaj aliaj kultur‑specifaj programoj (vidu “Rigardante Antaŭen” sube).</li>



<li><strong>Verki skizon kaj kunlabori kun la estraro</strong> por aprobi novan <strong>Politikon pri Akcepto de Donacoj</strong>, kiu spegulas nuntempajn plej bonajn praktikojn kaj la rekomendojn de <strong>CalNonprofits</strong>.</li>
</ul>



<h2 class="wp-block-heading">Rigardante Antaŭen</h2>



<p>Dum la ĉi‑jara kongreso Danjela Power, la vidvino de la forpasinta Karlo Pov, proponis starigi <strong>limigitan donacon je 50 000 $</strong> en lia nomo. La donaco subtenos kulturajn programojn, inkluzive de nia <strong>UBFF</strong>, literaturaj kaj eldonaj projektoj, precipe verkoj de originalaj kaj tradukitaj sciencfikciaj rakontoj en Esperanto. Karlo estis pasia pri sciencfikcio kaj tradukisto de bildstrioj. Ni lastatempe finlaboris la donac‑interkonsenton kun Danjela kaj kun ĝojo honoros Karlon, delongan kaj fortan subtenanton de Esperanto en Usono.</p>



<p>Ni ankaŭ ĝojas anonci, ke — dank&#8217; al la sukcesoj de Esperanto‑USA dum la pasinta jaro, kaj pro lia fido je nia estraro kaj strategia direkto — la delongtempa honora dumviva membro <strong>Humphrey Tonkin</strong> decidis <strong>plene pagi por dumviva membreco</strong>. Tiu tre malavara ofero de Humphrey, kune kun liaj kaj aliaj reagoj dum la <strong>aferkunsido</strong> de Esperanto‑USA ĉe la DLK, varmigas niajn korojn kaj donas al ni plian instigon por daŭre plenumi la mision kaj vizion de Esperanto en Usono.</p>

<h2 class="wp-block-heading" id="en"><strong>Exploring the Language of Finance, Part 4: From Budget Sections to Financial Statements</strong></h2>



<p>In Parts 1–3 we introduced basic terms through dialogues which showed how we use financial terms to run our nonprofit organization. Now we dive into the structure of a budget and two core reports: the Statement of Financial Position and the <strong>Statement of Financial Activities</strong>. The goal is to explain these concepts as clearly as a well‑crafted budget worksheet. Come on! </p>

<h2 class="wp-block-heading">What makes up a “good” budget?</h2>



<p>A budget is <strong>a story about the future</strong>: it shows not only how much we plan to spend but also <strong>why</strong>. Effective budgets therefore have three clear sections:</p>

<p>This separation makes the budget clearly show <strong>how each dollar supports the mission</strong> and <strong>what it costs to raise the next dollar</strong>.</p>

<h2 class="wp-block-heading">Program vs. Administrative expenses</h2>



<p>Nonprofits often struggle between too much administration and too little infrastructure. To run the organization well and efficiently fulfill its mission, the board of directors and director of the central office must ask themselves how to balance the costs that belong to:</p>



<ul class="wp-block-list">
<li><strong>Programs</strong>: direct activities donors think of when they support us.</li>



<li><strong>Administration</strong>: behind‑the‑scenes work that keeps those activities running.</li>
</ul>



<p><strong>Rule of thumb:</strong> We have to ask ourselves for each invoice: <em>Does this directly benefit the recipient of our service?</em></p>

<li>If yes → program expense</li>



<li>If no → administrative expense</li>
</ul>



<p>This clear distinction builds donor trust: they understand that administrative costs are necessary but should not be excessive.</p>

<h2 class="wp-block-heading">Statement of Financial Position (Balance Sheet)</h2>



<p>The <strong>Statement of Financial Position</strong> presents a <em>snapshot</em> of the organization:</p>



<ul class="wp-block-list">
<li><strong>Assets</strong>: everything we own or have a right to receive.</li>



<li><strong>Liabilities</strong>: everything we owe.</li>



<li><strong>Net Assets</strong>: the difference, subdivided into <strong>restricted</strong> and <strong>unrestricted</strong>.</li>
</ul>



<p>A healthy net position gives board members and donors confidence: we are not spending more than we have. Additionally, one can tell if the organization is growing through time by means of the sum of cash available and sum of savings. Even the outstanding salaries can indicate if we&#8217;re growing by a larger staff&#8230;and that line is found among the liabilities.</p>

<h2 class="wp-block-heading">Statement of Financial Activities (Income Statement)</h2>



<p>The <strong>Statement of Financial Activities</strong> shows how money flowed in and out of the organization over a specific period (typically monthly, quarterly, or annually):</p>

<li><strong>Revenues</strong> by source (dues, donations, investment income, sales)</li>



<li><strong>Expenses</strong> classified by the three budget sections above</li>



<li><strong>Net Profit or Loss </strong>: the result of revenues minus expenses</li>
</ul>



<p>With explanatory notes, this statement tells a story in numbers: <em>What we planned, what we actually did, and what remains to be achieved.</em></p>

<p>A budget is more than just a table; it is <strong>a story of accountability and vision</strong>. When budget sections, the Statement of Financial Position, and the Statement of Financial Activities present figures clearly and transparently, members grasp the full picture. It&#8217;s extremely important that the board of directors and director of the central office prepare a comprehensive budget each year to demonstrate that we&#8217;re fulfilling our  mission and that the organization is able to achieve its goals. <h2 class="wp-block-heading">Programaj vs. administraj kostoj</h2>



<p>Neprofitcelaj organizoj ofte baraktas inter tro da administrado kaj tro malmulte da infrastrukturo. Por bone regi la organizon kaj kompetente plenumi la mision, la estraro kaj direktoro de la centra oficejo devas demandi al si kiel ekvilibrigi la kostojn kiuj apartenas al:</p>

<li><strong>Programoj</strong>: la rektaj agadoj, pri kiuj la donacanto pensas kiam ri subtenas nin.</li>



<li><strong>Operacioj</strong>: la iloj, kiuj tenas tiujn agadojn funkciantaj.</li>
</ol>



<p><strong>Bona Regulo:</strong> Ni devas rigardi ĉiun fakturon kaj demandi al ni: <em>Ĉu ĉi tio rekte profitas la ricevantojn de nia servo?</em></p>

<p>Tiu klara distingo kreskigas la konfidon de donacantoj, kiuj komprenas ke administraj kostoj estas necesaj, sed ne estu troaj.</p>

<h2 class="wp-block-heading">Etato de Financa Pozicio</h2>



<p>La <strong>Etato de Financa Pozicio</strong> prezentas <em>momentfoton</em> de la organizo:</p>

<li><strong>Aktivoj</strong>: ĉio, kion ni posedas aŭ rajtas ricevi.</li>



<li><strong>Pasivoj</strong>: ĉio, kion ni devas pagi.</li>



<li><strong>Netaj aktivoj</strong>: la diferenco, subdividita en <strong>limigitajn</strong> kaj <strong>nelimigitajn</strong>.</li>
</ul>



<p>Se la Etato de Financa Pozicio montras sanan netan pozicion, tio donas al estraranoj kaj donacantoj trankvilon: ni ne elspezas pli ol ni havas. Krome, oni povas determini ĉu la organizo kreskas tra tempo pere de la sumo de aktivoj kiel kontanto kaj la sumo de konservita mono. Eĉ la sumo de ankoraŭ ne pagitaj salajroj povas indiki, ke la organizo kreskas per pli granda stabo&#8230;kaj tiu linio troviĝas inter la pasivoj.</p>

<h2 class="wp-block-heading">Etato de Financaj Agadoj</h2>



<p>La <strong>Etato de Financaj Agadoj</strong> montras kiom da mono eniris kaj kiom da mono eliris la organizon dum specifa periodo (kutime monate, kvaronjare aŭ jare):</p>



<ul class="wp-block-list">
<li><strong>Enspezoj</strong> laŭ fonto (kotizoj, donacoj, renta enspezo, vendadoj).</li>



<li><strong>Elspezoj</strong> klasifikitaj laŭ la tri buĝetaj sekcioj supre.</li>



<li><strong>Neta Profito aŭ Perdo</strong>: la rezulto de enspezoj kaj elspezoj.</li>
</ul>



<p>Kun klarigaj notoj, ĉi tia etato rakontas cifere: <em>Kion ni planis, kion ni efektive faris, kaj kio restas por atingi.</em></p>

<p>We are pleased to present the third installment of our series on financial vocabulary. In <a href="https://www.esperanto-usa.org/en/2025/02/27/malkovru-la-lingvon-de-financoj-en-esperanto/#en" target="_blank" rel="noreferrer noopener">Part 1</a>, we introduced the fundamental terms, and in <a href="https://www.esperanto-usa.org/en/2025/04/14/esplorante-la-lingvon-de-financoj-parto-2-dialogo-inter-estraranoj/#en" target="_blank" rel="noreferrer noopener">Part 2</a>, we illustrated their use through a dialogue between the Treasurer and the Board Chair. Now, we offer new terms through an example of a practical conversation between the Treasurer and the Executive Director as they prepare the quarterly financial report and plan administrative expenses. The below is just a learning tool and not a real conversation. </p>



<p>Through their close collaboration, the Executive Director provides the Treasurer with vital information on planned expenses and strategic objectives. They also manage the organization’s daily revenue and expenses. The Treasurer ensures accurate account codes, reinforces consistency in reporting, and advises the Director on financial decisions. Together, they guarantee clear, reliable, and efficient financial management.</p>



<p>Onto the dialog! </p>

<p><strong>Director:</strong> Hello! Here are the latest invoices for office expenses. Would you like to review them before I enter them into QuickBooks?</p>



<p><strong>Treasurer:</strong> Certainly. I’ll make sure that each invoice has the correct <strong>account code</strong> according to our <strong>chart of accounts</strong>. This ensures consistency in our financial reporting.</p>



<p><strong>Director:</strong> I noticed that some office supply expenses should be allocated to <strong>administrative costs</strong>, but one invoice for printing materials for the new program seems like a <strong>program-related expense</strong>. Should I classify it that way?</p>



<p><strong>Treasurer:</strong> Yes. If the expense relates directly to program activities, it should be recorded as a <strong>program-related expense</strong>. Only general costs—such as software licenses or telephone expenses—fall under <strong>administrative costs</strong>.</p>



<p><strong>Director:</strong> We received a sum of money from that very generous couple who requested that the donation support educational activities or projects. Should I mark it as <strong>restricted income</strong>?</p>



<p><strong>Treasurer:</strong> Yes, because it comes with specific conditions: it must be used according to the donor’s instructions. In contrast, <strong>unrestricted income</strong> is free for our own needs.</p>



<p><strong>Director:</strong> Finally, about the quarterly <strong>depreciation</strong> of the computer equipment—have you already entered that?</p>



<p><strong>Treasurer:</strong> Yes. It appears under <strong>non-cash costs</strong> in the report. Depreciation is not an immediate expense but shows the gradual loss in value of long-term assets over time.</p>

<h2 class="wp-block-heading">Introduction of New Terms</h2>



<ul class="wp-block-list">
<li><strong>Chart of accounts</strong>: the structure used to organize an organization’s accounts by type.</li>



<li><strong>Account code</strong>: the unique code assigned to a specific account for proper classification.</li>



<li><strong>Administrative costs</strong>: expenses required to keep the organization running (office rent, salaries, utilities).</li>



<li><strong>Program expenses</strong>: costs directly related to the organization’s mission-driven or program activities.</li>



<li><strong>Restricted income</strong>: donations or income that must be used for a specific purpose as stipulated by the donor.</li>



<li><strong>Unrestricted income</strong>: income that can be used at the organization’s discretion without specific limitations.</li>



<li><strong>Depreciation</strong>: the gradual loss in value of long-term assets (e.g., computers) reflected in the financial report.</li>



<li><strong>Non-cash costs</strong>: some accounting entries are made to support things like depreciation, where cash isn&#8217;t actually exchanged or used. </li>
</ul>



<p>These terms are essential for understanding the internal financial operations of a nonprofit organization like Esperanto-USA.</p>

<p>Ni ĝojas prezenti la trian parton de nia serio pri financaj fakvortoj. En <a href="https://www.esperanto-usa.org/en/2025/02/27/malkovru-la-lingvon-de-financoj-en-esperanto/" target="_blank" rel="noreferrer noopener">Parto 1</a> ni enkondukis la fundamentajn terminojn, kaj en <a href="https://www.esperanto-usa.org/en/2025/04/14/esplorante-la-lingvon-de-financoj-parto-2-dialogo-inter-estraranoj/" target="_blank" rel="noreferrer noopener">Parto 2 </a>ni montris ilian uzadon per dialogo inter la kasisto kaj la prezidanto de la estraro. Nun ni proponas novajn terminojn per ekzemplo de praktika konversacio inter la kasisto kaj la direktoro de la Ĉefoficejo, dum ili preparas la kvaronjaran financan raporton kaj planas administrajn elspezojn. La suba ekzemplo estas nur lernilo kaj ne vera konversacio. </p>



<p>Direktoro kaj kasisto laboras manenmane: la direktoro provizas al la kasisto decidajn informojn pri planat/itaj elspezoj kaj strategiaj celoj. Ri krome administras ĉiutage enspezojn kaj elspezojn de la organizaĵo. La kasisto certigas precizajn kontajn kodojn, fortigas konsistencon en la raportado kaj konsilas la direktoron pri financdecidoj. <p><strong>Endowment Account:</strong> The Endowment grew modestly due to interest and dividend income, despite market volatility.</p>



<p><strong>Unrestricted Investments:</strong> Remained stable with slight growth, supported by interest income and a conservative asset mix.</p>



<p><strong>Reed Trust:</strong> Posted slight overall growth, driven by steady income even as investment values fluctuated modestly. <strong>Reminder</strong>: the Reed Trust is a separate legal entity that Esperanto-USA manages. This year, the projected proceeds, $14,400, are going to support NASK in Toronto.</p>

<h3 class="wp-block-heading">Notable Activities from the Office of the Treasurer:</h3>



<ul class="wp-block-list">
<li>Matt and Amanda met with Morgan Stanley (MS) for the Q1 review of our accounts.</li>



<li>We discussed potentially engaging them to <em>actively</em> manage our accounts.
<ul class="wp-block-list">
<li>Our Endowment investments are heavily indexed on the conservative side (fixed-income), which paid off since market fluctuations didn’t impact them as much.</li>



<li>Our Unrestricted investments are moderately risk-based with 70% of the assets being equity and more impacted by market fluctuations.</li>



<li>The Reed Trust is approximately 50/50 equity to fixed income funds, which is why it saw some impact from market fluctuations and more so than the Endowments.</li>
</ul>
</li>



<li>Morgan Stanley sent documents proposing how they would perform that service if we choose.
<ul class="wp-block-list">
<li>There is a fee associated with each; we would most likely only move the Unrestricted and Reed Trust funds since the Endowments should remain mostly in fixed-income/non-volatile investments.</li>
</ul>
</li>



<li>More details to come; however, the compelling news was that MS managed accounts saw 8+% growth despite the volatility in the first quarter.
<ul class="wp-block-list">
<li>This was mostly due to a move towards foreign investments after the 2024 elections.</li>
</ul>
</li>
</ul>

<h3 class="wp-block-heading">Looking Ahead</h3>



<p>We continue to focus on:</p>



<ul class="wp-block-list">
<li>Finalizing the cleanup of our QuickBooks Online data&#8230;we were able to reduce this expense by ~$600 but have had technical difficulties with the migration to the new account.</li>



<li>Analyzing Morgan Stanley&#8217;s proposals for active account management.</li>



<li>Preparing for the upcoming DLK and NASK program, supported by the Reed Trust.</li>
</ul>

<li>Matt kaj Amanda renkontiĝis kun Morgan Stanley (MS) por la revido de niaj kontoj en K1.</li>



<li>Ni diskutis eblon engaĝi ilin pri aktiva administrado de niaj investoj.
<ul class="wp-block-list">
<li>Niaj Fondusaj investoj estas konserveme aranĝitaj (ĉefe fiksenspezaj), kio pruviĝis utila dum merkataj ŝanĝoj.</li>



<li>La Nelimigitaj investoj konsistas el pli da riska enhavo (ĉ. 70% en akcioj), tial ili estas pli sentemaj al merkataj ŝanĝoj.</li>



<li>Reed Trust havas dividon je proksimume 50/50 inter akcioj kaj fiksenspezaj valorpaperoj, kio klarigas ĝian mezuman reagon al merkataj fluktuoj.</li>
</ul>

<li>Plenumi la transiron kaj purigadon de niaj datumoj en QuickBooks Online. Ni sukcesis redukti ĉi tiun koston je ~600 $ jare, kvankam ni spertis teknikajn defiojn kun la migrado.</li>



<li>Analizi la proponon de Morgan Stanley pri aktiva konto-administrado.</li>



<li>Pretiĝi por la venonta DLK kaj NASK-programo, subtenata de la konto Reed Trust.</li>
</ul>
